Quotation and Engagement System: When you view, accept, or interact with a Quotation for Legal Services sent to you through our secure client platform (immbase.immigration.kiwi). Your acceptance of a Quotation is logged with a timestamp, your name as entered, your email address, and your IP address, as required for the integrity of the engagement record.
Direct Correspondence: When you email, call, or write to us directly.
Calendly: When you book a consultation appointment through our online booking system. Calendly is a third-party processor — please refer to their privacy policy for how they handle your information.
Payment Processors: When you pay for services online through Stripe, PayPal, or Wise. These are third-party processors who handle payment data in accordance with their own privacy policies and security standards. We do not store your credit card details.

Our Client Platform (immbase.immigration.kiwi): Hosted on Frappe Cloud. Our current server is located in Falkenstein, Germany. Depending on infrastructure decisions by Frappe Cloud, data may be migrated to servers located in other jurisdictions, including the United States, Canada, or Australia.
AI-Assisted Tools: Where AI tools are used in providing our services (for example, for legal research or document review), data may be processed by offshore AI providers (such as Anthropic or similar). AI outputs are always subject to human review by the Lawyer before use.
Payment Processors and Booking Platforms: Data is processed in accordance with their respective privacy policies.
Some of these jurisdictions may not have privacy protections equivalent to those under New Zealand law. By using our services, you consent to the transfer and storage of your information in such jurisdictions for the purpose of enabling us to deliver the agreed services.
We take reasonable steps to ensure all platforms used are reputable, subject to commercial-grade security standards, and that access is restricted to authorised personnel.
We retain personal information collected in connection with a matter for 7 years from the date the file is closed, in accordance with our professional obligations and standard legal practice. After this period, information is securely destroyed.
Information collected through our website and enquiry forms (where no engagement follows) is retained for a reasonable period and then deleted.
